Google Workspace Updates July 2026 Recap: Automated Meet Folders, Gemini Enhancements, and Calendar Controls

Throughout July 2026, Google introduced a series of updates to Google Workspace focused on improving automated organization, expanding the capabilities of Gemini within core apps, and providing users with more granular control over their schedules and communications. Here is a recap of the most impactful Google Workspace updates released in July.

Automated Organization in Google Drive and Meet

  • New Google Meet Folder Structure: Finding meeting resources is now significantly easier. Following a Google Meet session, all related files—including notes, transcripts, and video recordings—are automatically uploaded to a dedicated "Google Meet" folder in the host’s My Drive. Inside that folder, files are automatically organized into subfolders for each individual meeting (or recurring meeting series). Additionally, any attendees with access will now see shortcuts to these files directly within their own Drive, eliminating the need to search through shared files.

  • Admin Settings for AI Meeting Notes: To help organizations maximize the value of AI notes while maintaining control, administrators now have a third option for automatic note-taking in Google Meet. In addition to enabling or disabling the feature entirely, admins can now configure automatic note-taking to only trigger for meetings with three or more participants.

  • Visual Screenshots in Meet Notes: Google is preparing to roll out a feature that will automatically capture visual screenshots of presented content (like slides and diagrams) and embed them directly into generated AI meeting notes. To help organizations prepare, admin controls to allow or restrict these visual screenshots have been preemptively added to the admin console.

Expanded Capabilities for Gemini

  • Manage Comment Workflows in Docs: Gemini is now integrated into the comment workflows within Google Docs. Users can ask Gemini to summarize long comment threads, extract recurring themes, identify unresolved issues, or summarize all feedback from a specific collaborator. Furthermore, users can prompt Gemini to automatically draft replies or suggest edits based on the feedback.

  • Generate and Edit Images in Docs: Users can now leverage Gemini to create and edit images, diagrams, and infographics directly within Google Docs. Because the AI utilizes the surrounding text for context, it can generate highly relevant visuals—such as an infographic summarizing a proposal—without the user needing to leave the document or use third-party tools.

  • Gemini Notebook: The AI-powered research assistant formerly known as NotebookLM has officially been rebranded to Gemini Notebook. While it remains a standalone tool for synthesizing and researching documents, the new name reflects its expanding role across the Google ecosystem.

Enhanced Communication and Scheduling Controls

  • Refined "Help me write" in Gmail: The "Help me write" feature in Gmail has received a significant upgrade. Users are no longer limited to preset refinement options (like Polish, Formalize, or Shorten). You can now type custom, natural-language instructions into the prompt bar to dictate exactly how the AI should edit the draft (e.g., "add a deadline of Friday to the second paragraph").

  • External Group Conversations in Chat: Improving cross-organizational collaboration, Google Chat now allows users to create group conversations that include multiple external users. Previously limited to one-on-one external chats, this update streamlines communication with vendors or partners without requiring complex configuration changes.

  • Granular Calendar Delegation Permissions: A new calendar sharing permission level—"Make changes (see private events as free/busy)"—is now available. This allows leaders to grant a delegate edit access to create and manage non-private events, while keeping the details of private events entirely hidden. Private events will appear to the delegate simply as a busy block on the calendar grid.
