Never Forget Again: Automate Your Life with Gemini's Scheduled Actions

In a world that constantly demands our attention, juggling daily tasks, creative projects, and personal organization can be overwhelming. Google's Gemini is stepping in to help with a powerful new capability: Scheduled Actions. This feature transforms your AI assistant into a proactive partner, designed to help you with "less remembering and more doing". By allowing you to automate routine tasks and receive personalized updates at specific times, Scheduled Actions make the Gemini app more personal, proactive, and powerful.

What Are Scheduled Actions?

Scheduled Actions allow you to set up recurring prompts that Gemini will automatically run for you. Whether it's a one-time task for tomorrow or a daily creative brief, you can configure Gemini to deliver the information you need, right when you need it. You can have up to 10 active scheduled actions running at any given time.

Who Is Eligible to Use This Feature?

This new feature is currently rolling out to eligible users. To access Scheduled Actions, you'll need one of the following:

Additionally, the feature requires that your Keep Activity setting is turned on.

Creative Ways to Use Scheduled Actions

The flexibility of this feature opens up a world of possibilities for boosting productivity and staying informed. Here are some compelling scenarios:

  • The Ultimate Morning Briefing: Wake up to a personalized summary of your day. Schedule an action for 7 AM every weekday to get a report detailing your calendar events, a summary of unread emails from key contacts, and your to-do list for the day ahead. You can even have it suggest an outfit based on the weather and the items you've told it are in your closet.
  • Fuel Your Creativity: Never run out of ideas again. If you run a blog or manage social media, you can ask Gemini to "write five ideas for my blog every Monday at 9 AM". You'll start your work week with fresh inspiration waiting for you.
  • Stay in the Know: Keep up with your passions effortlessly. Schedule an action to get regular updates on your favorite sports team, receive weekly news about your favorite artist's upcoming events, or even get a summary of an award show the morning after it airs.
  • Explore Your Neighborhood: Become a local expert without the effort. Set up a weekly action for Friday afternoons to get a "rollup of new local cafes and restaurants to check out during the weekend". Because Gemini can use your location, the suggestions will be relevant to where you are. Note that the action will use the location where it was first created for all future responses unless you specify a new one.

How to Manage Your Scheduled Actions

You have complete control over your automated tasks and can manage them anytime from the "Scheduled Actions" page in your Gemini app settings.

Creating a New Action

  1. Start a Prompt: In the Gemini app on mobile or on gemini.google.com, type your request into the text box. Be specific about the task and include details on when and how often it should run.
  2. Confirm: Submit the prompt, and Gemini will provide a summary of the action it has scheduled. You can edit the schedule or instructions right away if needed.

Editing, Pausing, or Deleting

You can modify your actions at any time.

  • From the Chat: Simply ask Gemini to make changes directly within the scheduled action's chat window.
  • From Settings: Navigate to your Settings > Scheduled actions on either the mobile or web app. From this page, you can easily:
    • Pause or Resume: Temporarily stop an action without deleting it.
    • Edit: Change the prompt or the schedule and save your updates.
    • Delete: Permanently remove an action you no longer need.

Notifications and Other Details

When a scheduled action is complete, Gemini will send you a notification. On the web app, this appears next to the chat thread, while the mobile app sends a device notification. If you notice you've stopped receiving updates, your action may have been paused due to inactivity, but you can easily reactivate it by viewing the chat. Finally, if your action requires another app like Gmail, Gemini will prompt you to enable it if it's disabled.

By offloading routine mental tasks to your AI assistant, you can free up valuable cognitive space and focus on what truly matters. As Google continues to integrate powerful AI features like Scheduled Actions across its suite of tools, the potential for enhanced productivity and streamlined workflows is immense.
